Group the details into issuer, stay, charge and payment information. A booking confirmation can help check dates, but the final bill should reflect the services actually supplied.

Consider a fictional stay at Example Garden Lodge, Pune, for guest Aarav Mehta, from 16 to 18 September 2026. Bill DEMO-H-001 is issued on 18 September 2026. The example assumes a registered supplier, room accommodation valued at ₹3,000 per unit per day, and that the property is not a “specified premises” for restaurant-service GST purposes. Both the accommodation and restaurant service are therefore illustrated at 5% GST without ITC. Actual tax treatment must be confirmed for the hotel and transaction.

An advance of ₹2,000 and a final payment of ₹5,192.50 leave no balance. This is arithmetic for a defined fictional example, not a tax-rate recommendation for every hotel or service. The sample should use an explicitly invalid demonstration GSTIN and be marked SAMPLE / DEMO — NOT VALID FOR CLAIMS.

The Excel sheet is an intra-state example with editable tax rates for each charge. Replace all fictional data and confirm every applicable rate before issuing a real bill. For hotel accommodation where the value of supply is ₹7,500 or less per unit per day, the Government’s September 2025 GST clarification specifies 5% GST without input tax credit for the supplier. The ₹7,500 test is based on the value of accommodation per unit per day, not simply the combined value of a multi-night bill. Accommodation above that threshold is not covered by this 5% entry, so confirm the applicable rate against the current GST notification and the transaction date before issuing the document.

Food and other services may require separate classification. For hotel restaurant services, treatment can depend on whether the hotel qualifies as a specified premises. Under the applicable framework, restaurant service in specified premises can receive different treatment from restaurant service in other hotels. A registered supplier making taxable supplies generally issues a tax invoice. Supplies for which a bill of supply is required should use the appropriate document instead. Do not add GST merely because a template contains tax fields. Confirm the supplier’s registration status, nature of supply and current requirements using the CBIC invoice rules.

A hotel invoice sets out charges for the stay and services supplied. A receipt acknowledges that payment was received. A final hotel bill may show both the charges and the payment record, but a total amount alone does not prove that money was paid. Keep advances separate from the charge total and show the remaining balance clearly. A booking confirmation or reservation voucher is not the final record of charges.

A reusable layout keeps guest details, stay dates, nightly charges, additional services and advances in predictable places. It also makes missing information easier to spot when reviewing several stays. Save a clean master template separately from completed bills. Give each genuine transaction its own reference and file, and avoid overwriting an earlier guest’s record.

PDF preserves the document layout when sharing or printing. Before exporting, check that the guest name, hotel identity, stay period, line items, taxes, payments and final total remain visible. Open the exported PDF itself and inspect every page rather than relying only on the editing preview. Keep the editable source for legitimate corrections and retain separate payment evidence when your employer or customer requires it.

Use these templates only for real accommodation transactions and legitimate record keeping. Do not copy another hotel’s logo, GSTIN, address, registration details or tax identity into a document you are not authorised to issue. If an original bill is missing, request a duplicate or corrected document from the actual hotel. The fictional sample provided here is only for understanding the layout and calculations and must not be submitted as proof of a stay or payment.

  • Applying the room accommodation tax rate automatically to every additional service.
  • Recording an advance as both a discount and a payment.
  • Leaving a previous guest’s name, address or bill reference in a reused template.
  • Showing a bill as “paid” when its payment entries do not reconcile with the final total.
  • Copying a hotel’s GSTIN, branding or address into a document without authorisation.

Will my employer accept a hotel bill PDF?

Acceptance depends on your employer’s expense policy and the supporting evidence it requires. Check the claimant’s name, travel dates, issuer details, charges and payment record before submission. If your employer requires its company name or other information on the invoice, ask the hotel to issue or correct the document rather than altering the hotel’s bill yourself.
