Generate Driver Salary Receipts with Revenue Stamps

A driver salary receipt is a signed acknowledgement that a driver received salary for a particular month or period. It usually identifies the payer and driver, the period covered, amount paid, payment mode and the driver's signature. Employees may use it when their employer asks for proof of a personal driver's salary for a reimbursement or benefit claim.

Field-by-field
| Field | What to enter | Why it matters |
|---|---|---|
| Salary month | The actual month or period the salary covers | Helps avoid missing or duplicate claims |
| Employer name | The person who actually pays the driver | Connects the receipt to the reimbursement claimant |
| Driver name and address | The driver's genuine details | Identifies who received the payment |
| Net amount paid | Salary plus allowances minus deductions | Records the amount actually received |
| Payment mode and reference | UTR, UPI reference, cheque details or cash | Helps reconcile the receipt with payment evidence |
| Driver signature | The driver's acknowledgement | Confirms receipt of the stated amount |
| Stamp details | Applicable revenue stamp where required | Stamp-duty treatment can depend on the applicable law and circumstances |
Consider a fictional September 2026 salary payment with an outstation allowance and an advance recovered:
| Component | Amount |
|---|---|
| Monthly salary | ā¹18,000 |
| Outstation allowance (2 nights) | ā¹1,500 |
| Less: advance recovered | ā ā¹1,000 |
| Net amount paid | ā¹18,500 |
The receipt should state the actual payment mode and reference and be signed by the driver. If the payment is made in cash and a stamped receipt is required under the applicable stamp law or employer policy, the appropriate revenue stamp can be affixed and signed across. All names, references and amounts in the downloadable sample are fictional.
Use the Word template for a blank editable receipt containing salary, payment and signature fields. The 12-month Excel register keeps one row per month, calculates net payments and totals the year. It can also flag higher-value cash receipts for a stamp-duty or employer-policy check.

Replace every sample value with the salary and payment details that actually apply. The filled PDF is an example only and should remain marked SAMPLE / DEMO ā NOT VALID FOR CLAIMS.
Article 53 of Schedule I to the Indian Stamp Act, 1899 prescribes ā¹1 stamp duty for a receipt acknowledging money or other property whose value exceeds ā¹5,000, subject to the exemptions listed in the Act. See the Indian Stamp Act on India Code.
A revenue stamp is therefore commonly seen on higher-value cash salary receipts, with the recipient signing across the stamp. However, the central provision is framed around the receipt rather than simply the payment mode, and stamp-duty rules can be affected by state amendments and exemptions. A bank transfer, UPI payment or cheque provides useful independent payment evidence, but you should not assume that payment mode alone decides the stamp-duty position.
For an employment reimbursement, follow the law applicable to the receipt and your employer's documentary requirements. If a stamped receipt is requested, the driver should sign the genuine receipt after receiving the payment.
Driver or chauffeur costs can form part of an employer's motor-car reimbursement or perquisite calculation. The tax result depends on who owns the car, who bears its running costs and whether the vehicle is used wholly for official duties or partly for personal use.
Under Rule 15(3) of the Income-tax Rules, 2026, where an employee owns the motor car and the employer meets or reimburses its actual running and maintenance costs, including chauffeur remuneration:
- Wholly and exclusively official use: the perquisite value can be nil where the employer maintains the prescribed journey records and certification.
- Official and personal mixed use: the taxable value is based on the actual amount paid or reimbursed by the employer after the prescribed monthly reduction, subject to the documentation conditions.
For the current 2026 rules, Table II uses a monthly amount of ā¹5,000 for a car up to 1.6 litres or an electric vehicle, or ā¹7,000 for a car above 1.6 litres, plus ā¹3,000 where a chauffeur is also provided, in the relevant mixed-use calculation. See the notified Income-tax Rules, 2026.
These rules are more nuanced than treating the entire driver's salary as either automatically taxable or automatically exempt. Your employer's payroll team should apply the rule to the actual ownership, use and reimbursement arrangement.
A driver salary receipt acknowledges that the driver received a stated payment. It may be used where an individual personally employs and pays a driver and needs supporting evidence for an employer reimbursement.
A payslip is a payroll document issued by an employer or agency and normally shows earnings and deductions, including statutory items such as PF or ESI where applicable. If the driver is employed through a company, agency or formal payroll, use the payroll documentation issued by that employer rather than replacing it with a self-created receipt.

A driver salary receipt may be needed repeatedly, while the driver, payer and vehicle details often remain the same. A reusable template reduces repetitive typing and helps keep each month's records consistent. The 12-month Excel register also makes it easier to spot missing months, changing salary amounts and mismatches between receipts and payment records when reimbursement proofs are collected later.
Use these templates only to record salary actually paid to a driver you genuinely employ or engage. Do not create receipts for a driver you do not have, for months you did not pay, for more than the amount actually paid, or using another person's signature. Employers may request payment records, driver details or other supporting evidence. The fictional sample exists only to demonstrate the format and must not be submitted as proof of a real salary payment.
- The receipt amount does not match the salary actually paid.
- The payer's name does not match the employee claiming the reimbursement.
- One or more salary months are missing, or the same month appears twice.
- The net amount does not reconcile with salary, allowances and deductions.
- A bank or UPI payment is recorded without its available payment reference.
- The employer signs as though they were the recipient instead of obtaining the driver's acknowledgement.
- Applicable stamp-duty or employer-document requirements are assumed rather than checked.
What is the format of a driver salary receipt?
It records that a driver received a stated sum from the payer as salary for a particular month or period. A useful format includes the payer and driver details, salary components, net amount, payment mode, payment reference and driver's signature, plus stamp details where applicable.
Is a revenue stamp required on a driver salary receipt?
Article 53 of Schedule I to the Indian Stamp Act provides ā¹1 stamp duty for a receipt above ā¹5,000, subject to its exemptions. State amendments and the circumstances of the receipt can affect the position. Revenue stamps are commonly used on higher-value cash salary receipts, but check the applicable rule and your employer's documentation policy rather than assuming that payment mode alone decides the requirement.
Can I download a driver salary receipt in Word?
Yes. The Word template above is a blank editable receipt and downloads without signing in. Complete it using genuine payment details and obtain the driver's signature where a signed receipt is required.
Can I keep 12 months of driver salary records together?
Yes. The downloadable Excel register provides one row per month for a financial year and totals the salary payments. Generate or retain the corresponding genuine receipts and payment records for the months actually paid.
Who signs a driver salary receipt?
The driver should sign because the document acknowledges that the driver received the stated payment. The employer or employee claiming reimbursement is the payer and should not sign on the driver's behalf.
Is driver salary reimbursement taxable?
It depends on the motor-car arrangement and use. Under the Income-tax Rules, 2026, wholly official use can have nil perquisite value where the prescribed records are maintained, while mixed official and personal use follows the Rule 15(3) valuation formula. Payroll should apply the rule to the actual circumstances.
